Cancelling a cleaning service should be simple, but it is easy to get stuck: who do you address the letter to, how much notice do you need to give, and what if you are tied into a contract? This guide answers those questions and gives you a free termination letter template you can copy, for a home cleaner or a commercial cleaning contract.
Who should you write a termination letter to?
Address your letter to the person or business named on your agreement, invoice or booking confirmation. In practice:
- Cleaning company: send it to the account manager or office manager. If you do not have a name, address it to the company’s registered name and use the email address on your invoices.
- Independent or self-employed cleaner: address the cleaner directly by name.
- Commercial contract: check the contract for a “notices” clause. It often says exactly who notices must go to, and whether email counts or a posted letter is required.
Whichever applies, send it in writing (email is fine unless your contract says otherwise) so you have a dated record.
How much notice do you need to give?
- Domestic cleaning with no written contract: one or two weeks’ notice, or one cleaning cycle, is the courteous norm.
- Domestic cleaning company with terms and conditions: check the cancellation section. Many ask for 7–14 days, and some charge for visits cancelled at short notice.
- Commercial cleaning contracts: often 30 days or more, and some have a minimum term. Check for automatic renewal dates, as missing one can lock you in for another period.
What to include in your letter
- Your name, address (or business and site address) and account or contract number.
- A clear statement that you are ending the service.
- The date of the final clean, calculated from your notice period.
- A request to return keys, fobs or alarm codes, and to confirm the final invoice.
- Optional: a brief reason. You do not have to give one.

[Your name] [Your address or business address] [Date] [Cleaner's name / Company name] [Company address or email] Subject: Notice of cancellation – cleaning service at [property address] Account / contract number: [number] Dear [Name / Sir or Madam], I am writing to give notice that I am ending the cleaning service at [property address]. In line with the [X]-day notice period in our agreement, the final clean will be on 2026. Please do not schedule any visits after this date. Please return all keys, fobs and access cards by 2026, and send a final invoice so I can settle any outstanding balance. [Optional: The reason for ending the service is (brief reason).] Thank you for your work. Please confirm receipt of this notice by reply. Kind regards, [Your name] [Phone number]
How to cancel politely by text or message
If you have an informal arrangement with a self-employed cleaner, a message is usually fine:
“Hi [name], thank you for all your help over the past [months]. I won’t need cleaning after 2026, so that will be our last visit. Could you leave the key on the day, and let me know what I owe for the final clean? Thanks again.”
What if the cleaner was not doing the job?
If you are ending the service because of missed visits or poor work, raise it in writing first and give them a chance to fix it, especially on a commercial contract where you may want to end early. Keep dates, photos and messages. If the contract allows termination for breach, a record of the problems makes that much easier and avoids being charged for the remaining notice period.

FAQs about cancelling a cleaning service
Can I cancel a cleaning service by email?
Usually yes. Unless your contract says notices must be posted, an email to the address on your invoices is fine and gives you a dated record.
Do I have to give a reason for cancelling?
No. Giving a short reason is polite, but you only need to give the notice set out in your agreement.
Do I have to pay for the notice period?
If your agreement includes a notice period, you may be charged for visits within it, even if you cancel them. Check your terms before you send the letter.
Can I cancel a commercial cleaning contract early?
Only if the contract allows it, or if the provider has breached it. Look for break clauses and termination-for-breach terms, and keep records of any service problems.
